Privacy Policy
This Privacy Policy explains how Closure Billing (“we”, “us”) collects, uses, and shares information when you use closure. (the “App”) and related services.
Information we collect
- Account and login: email address, authentication details (e.g., hashed passwords or tokens), account identifiers, subscription status, and basic account settings.
- Profile and business identity: name, business name, contact details, address, invoice notes, uploaded logo, and other fields you choose to provide.
- Business data you create: clients, projects, rate card items, work logs, work entries, expense entries, drafts, invoices, line items, and related metadata.
- Voice logs and AI outputs: audio you upload, transcripts, and structured extraction results produced from your audio (e.g., suggested entries and fields requiring review).
- Subscriptions and payment enablement: App Store subscription status and purchase history, Stripe connection status, Stripe account identifiers, and invoice payment metadata needed to create payment links and mark invoices paid. We do not collect payment card numbers, bank account numbers, or Apple payment credentials.
- Notifications: push notification tokens, notification preferences, delivery status, and basic notification metadata when you enable notifications.
- Diagnostics, crash, and reliability data: app version, build, environment, request IDs, redacted error reports, crash reports, and performance diagnostics.
- Usage analytics, if enabled: limited product interaction events such as feature usage, counts, selected product IDs, billing period, and app version. We do not send invoice contents, voice recordings, transcripts, client emails, payment instructions, passwords, or access tokens in analytics events.
- Website analytics: when you visit closurebilling.com, we collect basic anonymous usage data: page views, referring source, approximate country, browser type, and clicks on navigation and download CTAs. The website uses memory-only storage (no cookies, no localStorage tracking) and respects the Do Not Track browser signal. We do not link website visits to your in-app account.
Information we do not collect
- We do not sell personal information and do not use third-party advertising or ad tracking.
- We do not request access to your phone contacts, camera, location, calendar, or photo library.
- Payment cards, bank accounts, Apple payment credentials, and Stripe onboarding details are handled by Apple or Stripe.
- Business content is not used to train advertising profiles or sold to data brokers.
How we use information
- Provide the App’s core features (logging work, creating invoices, sending reminders, and exporting data).
- Process voice logs (transcription and extraction) to draft entries and reduce manual data entry.
- Manage subscription access, Stripe payment links, invoice payment status, and billing-related settings.
- Send requested push notifications, invoice emails, reminders, password resets, and service messages.
- Improve reliability, security, and performance (debugging, monitoring, and abuse prevention).
- Provide customer support and respond to requests.
How we share information
We do not sell your personal information. We share information only with service providers who help us operate the App, process user-requested workflows, or comply with law, such as:
- Hosting and database providers to store and serve application data.
- Email delivery providers to send invoices, reminders, and password reset emails.
- Apple to process App Store subscriptions and manage subscription status.
- Stripe to connect payment accounts, create payment links, and receive invoice payment status.
- AI transcription/extraction providers to process your audio and produce transcripts and structured outputs for voice logs.
- Analytics and crash reporting providers to process limited product usage and reliability data.
- Apple Push Notification service to deliver notifications you enable.
We may also share information if required by law or to protect rights, safety, and security.
Voice and AI processing
- Voice recordings are used to generate transcripts and draft work entries.
- Temporary pending audio files are deleted after processing completes or fails.
- Transcripts and extracted draft content may remain in your account as draft work data until confirmed, edited, or deleted.
- You should not record information you do not want processed by our AI providers.
Data retention
- We retain your data while your account is active to provide the service.
- Confirmed invoices, work logs, client records, and project records remain available until you edit or delete them.
- You can delete your account and associated data from within the App in Settings → Account → Danger Zone, or contact us for help at support@closurebilling.com.
- Account deletion removes your account records, profile data, business data, analytics events, push devices, and stored logo data from the active application database.
- Backups, logs, and provider records may persist for a limited time before being overwritten or deleted according to provider retention schedules.
Security
- We use HTTPS for data in transit and access controls to protect stored data.
- We limit analytics and diagnostics payloads to metadata and redact sensitive values where possible.
- No method of transmission or storage is 100% secure; we work to minimize risk.
Your choices
- You can update profile details and invoice settings within the App.
- You can disable usage analytics in Settings → Preferences.
- You can disable notifications in iOS Settings or in the App’s notification settings.
- You can delete an uploaded logo from profile settings.
- You can request access to your data, and you can initiate account deletion within the App in Settings → Account → Danger Zone, or contact us at support@closurebilling.com for help.
Children
The App is not intended for children under 13, and we do not knowingly collect personal information from children.
Changes
We may update this Privacy Policy as the App changes. The effective date above shows when this version applies.
